Central Ontario Art Association fonds.

Fonds consists of records documenting most aspects of the development of the Central Ontario Art Association, the events and activities of the association, and its administration and membership in the period from its formation in 1954 to about 2000, with some gaps in coverage. The records were accumulated by various members and some organization was imposed by the association for the purpose of researching its history.

Fonds includes correspondence, membership lists, flyers, announcements, programs, newsletters, exhibitors' catalogues, minutes, reports, the association constitution and by-laws, histories, forms and questionnaires, clippings, lectures and articles, photocopied information, photographs, slides, and other material.

Subject Files

Series consists of files of miscellaneous documents accumulated by various association members. Includes files on subjects relevant to association activities, such as teaching art, safety in the arts, and the McMichael Canadian Collection in Kleinburg, Ontario. Series also includes material from other art associations and members' files of miscellaneous items. Includes photocopied information, correspondence, clippings, articles, lectures, photographs and negatives, newsletters, membership lists, a manual, a bibliography, and other material.

History Working Files

Series consists of material created, collected and accumulated for the purpose of researching and writing the history of the COAA. Most files were probably kept or acquired by Oreen Campbell, who was responsible for writing the history of the association during the 1980s. Includes files containing items removed from elsewhere in the fonds for the purpose of gathering key documents for the association's history and especially those containing information about important decisions and developments. Series includes correspondence, typed histories (including draft versions), flyers, announcements, membership lists, newsletters, exhibition catalogues, reports, minutes, lectures, articles, clippings, photographs, the association constitution and procedures manual, and other material.

McMichael Gallery file (file 2 of 2).

File consists of material relating to the McMichael Gallery in Kleinburg, Ontario, and mainly to legislation changes in the early 1980s affecting the McMichael Canadian Collection and the response of interested parties (including COAA members) regarding the changes. Includes incoming and outgoing correspondence, newspaper clippings, politicians' statements given at the Legislative Assebmly of Ontario, transcripts of parliamentary committee meetings (Standing Committee on Social Development), newsletters, fliers, etc. File also contains copies of the Act to Establish the McMichael Canadian Collection (1972) and the Act to amend the McMichael Canadian Collection Act (1981). Contains miscellaneous material, including: correspondence, photographs of COAA members and artwork, exhibition catalogues and invitation cards (for COAA member shows as well as other galleries), typed information about the COAA, flyers, minutes of a special meeting of the Homer Watson House Foundation (1982), a draft speech given at a fall workshop on the death of Gordon Couling, mock-ups of potential COAA logos, and other material.

Publications

Series consists primarily of issues of the newsletter produced by the association for its membership. The newsletter contains association reports, announcements of upcoming events and exhibitions, information and tips on art techniques and materials, reports from other art associations and organizations, advertisements, etc. Most issues also contain a list of the association executive and advisory directors. Series includes issues of the Five Counties Art Association Bulletin (1955-1964), Central Ontario Art Association Bulletin (1964-1970), and the Central Ontario Art Association Newsletter (1982-1998). Series also includes page proofs (i.e. before photocopying) of newsletter issues (1982-1998), correspondence and memoranda, brochures and flyers, photographs, and handwritten notes. It is not clear whether every issue of the newsletter produced is present in the series.

File consists of material relating to the Canadian Fine Art World Guide on CD-ROM. Contains printed and photocopied information and a diskette containing a demonstration of the program.

File consists of incoming and outgoing correspondence of the COAA president for the years 1991-1997. Presidents during this period included: Els Swart, Ursula Reese, Rosey Koivisto, and Linda Kemp. Correspondence relates to the administration of the association, membership, coordinating events and workshops, and the functioning of the executive committee. Includes, as attachments to the correspondence: contracts, clippings, invoices, brochures, etc.

Series consists of records relating to the organization and promotion of activities of the COAA, and in particular to workshops, exhibitions, sketching trips, field trips, and social events organized by the association. The material was accumulated by various individuals in the association and is not comprehensive as most records are from the 1970s through the mid-1990s. Series includes: flyers, brochures, announcements, programs, exhibitors' catalogues, correspondence, registration forms, membership lists, handwritten notes, newsletters, minutes, budgets, ephemera, and other material.

File consists of material relating to the organization of the annual juried show of the COAA, called Crossection, for the years 1979 to 1997. Includes flyers, brochures and invitations (some drafts); correspondence (some drafts); entry forms and guidelines; lists of entries and award winners; jurors' remarks; handwritten notes, etc. [Does not include all of these items for each year.]

Administration and Membership

Series consists of records relating to the administration of the COAA and to the association membership, accumulated by various individuals in the association. Records primarily relate to the development of the constitution and by-laws, the maintenance of membership lists for the COAA and for the association's teachers' council, and to some specific positions and committees: president, secretary, secretary-treasurer, and program committee. Series includes correspondence; membership lists; minutes of annual, executive, and teachers' council meetings (including the original minute book); the association constitution and by-laws (as well as drafts of these); reports; notebooks and handwritten notes; flyers, event programs, and exhibitors' lists; and other material. The series is not comprehensive in that not all years are equally documented and not all aspects of the association's administration and governance are represented in the records.

File consists mainly of material relating to Crossection, the annual juried show, for 1996. Includes brochures, terms of entry, and a fax containing information about submitting slides for art exhibitions. Also present is a page probably from a 1991 association newsletter containing a call for slides of artwork.

Notebook also included loose items: a flyer; the March, 1962 newsletter of the Ontario Recreation Association; the October, 1981 newsletter of the Macdonald Stewart Art Centre; a COAA flyer; handwritten notes; and exhibitors' catalogues for the 20th and 21st annual Central Ontario Exhibition fine art competition.

File consists mainly of flyers, programs, and invitations for events and workshops organized by COAA for the years 1976 to 1980. Events include Christmas parties, field trips, sketching and painting trips, gallery weekends, workshops, and annual meetings. File also includes some correspondence and applications forms relating to grants from the Ontario Arts Council and some correspondence relating to arrangements for a sketching weekend in Niagara-on-the-Lake.

Series consists of records kept by Gordon Couling, charter member and first chair of the teachers' council executive, relating to the formation, administration, and activities of the COAA, mainly for the period from 1953 to 1960. Includes yearly files kept by Couling documenting the administration and activities of the association, as well as Couling's files relating to the annual Leader's Institute at the Macdonald Insitute in Guelph, offered by the Community Programs Branch of the Ontario Department of Education. Includes correspondence, minutes, reports, exhibitors' lists, flyers and programs, course outlines and resource lists, course notes and handouts, forms and surveys, lists of student participants, and other material.

File consists of the original minute book, which includes handwritten and typed minutes that have been glued or taped to the pages. Minutes are from executive and annual meetings and joint meetings with the association's Teachers' Council. Also present in the minute book are some reports and proposals. Loose items in the book include: handwritten (draft) and typed minutes for the 1971 annual meeting, handwritten notes and a meeting agenda, a typed draft history of the association, financial statements and treasurer's reports, the constitution, a 1958 exhibitor's list, a mock-up of the association logo, and a Girl Guides calendar.

File consists mainly of material created and accumulated by Joyce Holman in her role as secretary-treasurer of the association. File consists of the COAA constitution and by-laws, one piece of correspondence to Gery Puley, and several loose pages from the association news bulletin. One of these pages contains the minutes of a special executive meeting in which association historian and past president William Vickers reported that he had commenced recording the historiay of the association.
