Administration and Membership

Series consists of records relating to the administration of the COAA and to the association membership, accumulated by various individuals in the association. Records primarily relate to the development of the constitution and by-laws, the maintenance of membership lists for the COAA and for the association's teachers' council, and to some specific positions and committees: president, secretary, secretary-treasurer, and program committee. Series includes correspondence; membership lists; minutes of annual, executive, and teachers' council meetings (including the original minute book); the association constitution and by-laws (as well as drafts of these); reports; notebooks and handwritten notes; flyers, event programs, and exhibitors' lists; and other material. The series is not comprehensive in that not all years are equally documented and not all aspects of the association's administration and governance are represented in the records.

Constitution and miscellaneous.

File consists of the COAA constitution and by-laws, one piece of correspondence to Gery Puley, and several loose pages from the association news bulletin. One of these pages contains the minutes of a special executive meeting in which association historian and past president William Vickers reported that he had commenced recording the historiay of the association.

File consists of slides possibly belonging to Oreen Campbell. Includes snapshots of family events and holidays (Christmas, wedding, summer, etc.), scenery, houses, [the Highland Games in Fergus], and possibly of COAA sketching trips. Many slides do not appear to be related to the COAA.

File consists of the original minute book, which includes handwritten and typed minutes that have been glued or taped to the pages. Minutes are from executive and annual meetings and joint meetings with the association's Teachers' Council. Also present in the minute book are some reports and proposals. Loose items in the book include: handwritten (draft) and typed minutes for the 1971 annual meeting, handwritten notes and a meeting agenda, a typed draft history of the association, financial statements and treasurer's reports, the constitution, a 1958 exhibitor's list, a mock-up of the association logo, and a Girl Guides calendar.

Series consists of records kept by Gordon Couling, charter member and first chair of the teachers' council executive, relating to the formation, administration, and activities of the COAA, mainly for the period from 1953 to 1960. Includes yearly files kept by Couling documenting the administration and activities of the association, as well as Couling's files relating to the annual Leader's Institute at the Macdonald Insitute in Guelph, offered by the Community Programs Branch of the Ontario Department of Education. Includes correspondence, minutes, reports, exhibitors' lists, flyers and programs, course outlines and resource lists, course notes and handouts, forms and surveys, lists of student participants, and other material.

File consists of a notebook containing various handwritten notes: treasurer's accounts (1960), a guest book for an art show (1965), and notes probably taken at workshops. Notebook also included loose items: a flyer; the March, 1962 newsletter of the Ontario Recreation Association; the October, 1981 newsletter of the Macdonald Stewart Art Centre; a COAA flyer; handwritten notes; and exhibitors' catalogues for the 20th and 21st annual Central Ontario Exhibition fine art competition.

Series consists primarily of issues of the newsletter produced by the association for its membership. The newsletter contains association reports, announcements of upcoming events and exhibitions, information and tips on art techniques and materials, reports from other art associations and organizations, advertisements, etc. Most issues also contain a list of the association executive and advisory directors. Series includes issues of the Five Counties Art Association Bulletin (1955-1964), Central Ontario Art Association Bulletin (1964-1970), and the Central Ontario Art Association Newsletter (1982-1998). Series also includes page proofs (i.e. before photocopying) of newsletter issues (1982-1998), correspondence and memoranda, brochures and flyers, photographs, and handwritten notes. It is not clear whether every issue of the newsletter produced is present in the series.

The latter and possibly both items were prepared by the Community Programmes Branch of the Ontario Department of Education and were probably collected or used by Gordon Couling at the Leader's Institute.
